Job Overview
SYSTRA is seeking a professional and highly organized Office / Administrative Assistant to support daily office operations and front-office activities. The role is essential in ensuring smooth communication, efficient administration, and a welcoming environment for employees, clients, and visitors.
This position requires strong multitasking skills, attention to detail, and the ability to work effectively in a fast-paced corporate environment.
Key Responsibilities
Front Office & Reception
- Act as the first point of contact for visitors, clients, suppliers, and vendors
- Manage reception duties including call handling, message taking, and inquiry resolution
- Maintain a professional and welcoming front-office environment
Administrative & Office Support
- Provide administrative assistance to departments and management teams
- Handle data entry, document preparation, filing, and record management
- Process employee requests and provide accurate information when required
- Coordinate meeting rooms, schedules, and appointments
Procurement & Finance Support
- Prepare purchase requests and follow up on quotations and approvals
- Assist with order processing and supplier coordination
- Track invoices and coordinate with the finance team for timely payments
- Maintain proper documentation and records
Office Operations & Facilities
- Monitor office supplies, equipment, and stationery levels
- Coordinate with vendors and service providers for office maintenance and services
- Liaise with building management for maintenance, renewals, and employee concerns
- Ensure general housekeeping standards are maintained
Logistics & Coordination
- Coordinate daily schedules of drivers and office assistants
- Manage incoming and outgoing mail, couriers, and deliveries
Candidate Profile & Skills
- Bachelor’s degree in Business Administration or a related field
- 3–5 years of relevant experience in an administrative or office support role
- Prior experience in a corporate or engineering environment is preferred
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Excellent verbal and written communication skills
- Highly organized with strong attention to detail and accuracy
- Ability to handle confidential and sensitive information professionally
- Flexible and adaptable with the ability to manage multiple priorities
