We’re seeking an office administrator for our Dubai location to ensure smooth operation across all areas of daily tasks, which encompass paperwork, finances, and supplies for travel, as well as event support. Key responsibilities:

  • Manage upcoming event projects, kitchen, cleaning, and office supplies, festivals, deliveries, business meetings, and daily office activities.
  • Ensure all records are accurately maintained in filing systems, making them easily retrievable, and oversee visa application renewals, TECOM permit updates, medical insurance renewals, and purchasing orders for day-to-day operations.
  • Offer support in preparing the presentations and other necessary documents, and assist the department.
  • Place outgoing calls for gathering of documents, clarifications, and verifying client information and the status of their applications.
  • Support the human resource manager and other divisions with common office-related tasks during busy periods.
  • Verify the status of client calls and ensure that pending documents, appointments, and payments are followed up.
  • Collaborate with last-mile carriers to guarantee prompt dispatch and ongoing operational support.
  • Provide support with travel arrangements and logistics coordination for staff and visiting colleagues as needed.
  • Create reports, business documents, and seek out information for the authorized members of the team.

A successful candidate must:

  • Keep company information secure.

  • The suspect should report security incidents immediately.
  • Maintain confidentiality of company access passwords and credentials.
  • Access only the required information as needed for your duties.

Qualifications:

  • Previous experience in office administration, administrative assistance, customer support, or records management can be advantageous but is not necessarily required.
  • Strong written and verbal communication competencies.
  • Skill in handling emails, Google Sheets, documents, and keeping records and files organized.
  • Exceptional planning and time management abilities.
  • The capability to organize tasks, handle multiple assignments simultaneously, and perform efficiently under stress with a focus on accuracy.
